Who we are

This booking service is run by The Neighbourhood Club, 44 Nathaniel Maxuilili Street. We are responsible for the personal information you give us when you book a table, chat with us on WhatsApp or pay a deposit. Questions about this policy: welcome@theneighbourhood.club or +264834236098.

What we collect

  • Booking details: your name, mobile number, email address (optional), party size, date and time, occasion and any special requests you share, such as allergies.
  • WhatsApp conversations: your WhatsApp number and profile name, the messages you send us and our replies. Voice notes are converted to text so they can be answered.
  • Deposits: the amount, the payment status and a payment reference. Card payments are handled by our payment provider on their own secure page; we never see or store your card details.
  • Visit records: whether you arrived, were seated or cancelled, and notes our staff add to help serve you.

How we use it

  • To take, hold, confirm, change and cancel your reservation and seat you at a suitable table.
  • To take, credit and, where our cancellation policy allows, refund your deposit.
  • To send you WhatsApp messages about your booking (payment request, confirmation, a reminder before you arrive, changes and cancellations) if you agreed to receive them.
  • To answer your questions and look after any special requests.
  • To keep the records we need for accounting and to meet our legal obligations.

We do not sell your information and we do not send you marketing without your permission.

Our WhatsApp booking assistant

Replies on our WhatsApp number may be written by an automated assistant that checks live availability and makes bookings for you. To do this, your messages (and the text of your voice notes) are processed by artificial intelligence services. You can ask for a person at any time, and our staff can see the conversation and take over.

Who we share it with

We share only what is needed to provide the service, with:

  • Meta (WhatsApp), to send and receive WhatsApp messages.
  • Our payment provider, to process deposits.
  • Our technology providers who host this website and its database and provide the AI services used by the assistant.

These providers may store or process information outside Namibia. We may also disclose information where the law requires it.

How long we keep it

We keep booking and payment records for as long as we need them to provide the service and to meet accounting and legal requirements. You can ask us to delete your information at any time (see below).

Your choices

  • Ask us what information we hold about you, or ask us to correct it.
  • Ask us to stop sending you WhatsApp messages. Just tell us in the chat or contact us.
  • Ask us to delete your information.

Delete your data

To have your personal information deleted:

  1. Contact us at welcome@theneighbourhood.club or +264834236098, or send “Please delete my data” to our WhatsApp number.
  2. Include the mobile number you booked with and, if you have it, your booking reference.
  3. We will confirm and delete your bookings and WhatsApp conversations within 30 days. We may keep payment records where the law requires us to, and we will tell you if so.
